THE COFER METHOD
We don't touch your books until we understand them.
Most bookkeepers start coding next month and inherit every error from the month before. We start with a deep discovery call and a line-by-line diagnostic of every account, then hand you a written plan before you pay a dollar.
01
Deep Discovery Call (free)
A structured call, not a sales pitch. We walk through our full intake questionnaire so nothing about your business is assumed. We cover:
- Your business structure, entities and years in operation
- Every bank and credit card account, including personal cards used for business
- How you get paid, how often you invoice, and what’s open in receivables and payables
- Your payroll provider, employees, contractors and how 1099s are tracked
- Owner and employee reimbursements, including mileage
- Your tax filings: the last business return filed, plus sales and payroll tax status
- Loans, lines of credit, vehicles, equipment and other fixed assets
- The reports you need and your financial goals for the year
- For contractors: job management software, active jobs, retainage, bonding and draw schedules
- For real estate: doors, entities, property management software, lenders and active projects
02
Diagnostic Review of Your Books (free)
With read-only access, we review every balance sheet account and every line of your P&L. Not a sample. Every account.
03
Written Diagnostic Report and Scope of Work
You receive a written report, account by account, that shows:
- What we found: every balance sheet and P&L error, listed by account
- How we’ll fix it: the specific correction for each issue
- What we need from you: the exact documents, such as statements, closing statements, loan schedules and payroll reports
- A fixed-fee quote, payable in monthly installments. Never hourly.
04
Cleanup or Catch-Up (if needed)
We work the scope line by line until every account reconciles, with a progress update every week.
05
Onboarding and Your Vendor Sheet
We build your chart of accounts for your industry and set up your jobs or properties and entities. Then we create a vendor sheet that maps every vendor to its account and its job or property. You approve it before we code a single transaction, and we review it with you every quarter.
06
Monthly Close by the 15th
Your assigned bookkeeper codes every transaction against your approved vendor sheet and reconciles every bank, credit card and loan account.
07
Quality Review
Before anything is sent to you, our Operations Manager reviews your file: coding against your vendor sheet, every reconciliation, and consistency from month to month. Work that doesn't pass goes back to the bookkeeper, not to you.
08
Monthly Report and Live Review Call
You receive a custom report with your P&L, balance sheet and job or property P&L, plus a written summary of the month and year to date and anything worth your attention. Then we walk through it with you on a live call. You also get a status email every week.
